GROUP LEADERS

STEP 1: REQUEST CHURCH ID

As you are preparing to reserve your spots for Summer Camp 2025 you will need to request a CHURCH ID. Here are a few important notes and reminders:

  • As the leader of your church group, you will either login to your existing account or create a new account in UltraCamp. If you forgot your password, please follow the process to reset it. UltraCamp will block redundant accounts.

  • A new group reservation and Church ID are needed for each year and each camp your church will be attending. This means your church will need separate codes for youth and kids camps in 2025.

  • The Church ID is MANDATORY for group registrations and is important for every student and parent to have when registering.

  • The Church ID determines housing, applies church-sponsored discounts, and will allow you to keep track of your campers and their registration balances. 

  • A Church ID does not hold your spots indefinitely. Spots are secured once a student registers and pays the $50 deposit.

  • Churches will only be allowed two more spots than the actual number they filled the previous year. If churches reserve more spots than this when completing the group reservation, the number will be reduced as needed.

  • If you are ready to create your Church ID, but do not know how much the church will contribute towards each camper (as is often the case with churches that fundraise), you can log back into UltraCamp at any time and create a sponsorship code for any amount to be provided to your campers. Parents will then login and apply this code to their student accounts reducing their balance owed.

  • Please remember that Heart for Ohio discounts are no longer tied to your Church ID. You will receive a separate code via email as registration approaches. You will need to give both your Church ID and Heart for Ohio code to families to register.

STEP 2: DISTRIBUTE CHURCH ID

All camper registration must be done online by the parent/guardian. Send the following to parents so they can register their student(s) online:

  • Summer Camp parent page URL.

  • Church ID code that corresponds with the correct camp that the student is attending.

  • Heart for Ohio discount code if applicable.

  • Tutorial video on how to complete the camp registration process (coming soon).

As the leader, you can do the following by logging into UltraCamp:

  • See students registered with your group.

  • Verify student balances to ensure everything is paid before Monday morning check-in.

  • Create additional ID blocks and sponsorships for students.

STEP 3: RECRUIT ROOM LEADERS

At OYM Summer Camp, our room leaders are called Support Staff. Every group needs to provide one adult as Support Staff for every 12 students of the same gender. If you have more leaders than your group needs, there is no guarantee that they will be a part of your church group.

All Support Staff must be at least 20 years or older to volunteer and attend a mandatory training the Sunday before camp. No exceptions.

It is highly recommended that church groups secure transportation for their campers to and from camp that does NOT include Support Staff as drivers.

This is because all camp staff must report to Heartland Conference Retreat Center for mandatory training on the SUNDAY NIGHT BEFORE CAMP and therefore cannot be available to drive campers to Camp on Monday.

Do you need help recruiting? Tell them we will have coffee and donuts for them on Monday morning!

STEP 4: DOWNLOAD OUR RESOURCES

We provide a document called “What to Expect. " We encourage you to download it and share it with your students and their parents. This document will include things like a packing list, tentative schedule, and emergency contact numbers.

STEP 5: PRAY & PREPARE

We believe that at OYM Summer Camp, students will have an encounter with God that will impact their lives forever. We come expecting God to do great things, which means we spend time in prayer beforehand, inviting God to move.

We ask that you join us in prayer, that God will prepare the hearts of our camp staff and students for Him to do great things.

SPEED THE LIGHT

During camp, we spend every night in prayer before service receiving an offering for our student-led missions initiative, Speed the Light. STL provides vehicles, equipment, and compassion resources for our Ohio missionaries to share the gospel around the world!

Our goal is that every student and leader hear from God and give sacrificially. We encourage you and your students to come prepared to give! During the 4 weeks of Summer Camp, if every student and leader brought at least $20 to donate, we could raise over $40,000 for Speed the Light!
